Master Facilitator Guide - Innovation Day Run-of-Show
The whole-day playbook. It covers the shared beats - door check, the joint opener on the 5 Ways, the split into two rooms, build, showcase, close - and hands off to each session’s own run sheet at the split. Each 2-hour slot is self-contained; the day runs the slot twice (AM and PM, identical) with a reset window in between.
Opening line (memorise it): “AI doesn’t change the standards - it changes how fast we hit them. Same destination, faster road. Here are the five rules of the road.”

- Two sessions, two rooms, one shared opener. Everyone hears the 5 Ways together, then walks to their room.
- AM and PM are identical. Same agenda, same materials, fresh participants. A reset window between them re-stocks and reboots.

Roster needs (per slot)
Each slot - AM and PM - needs its own staffed roster. Don’t assume AM staff carry into PM; confirm both.

Minimum to run a slot: 4 people. If you must run lean, the floating tech-helper is the first shared resource - but never drop a room lead, and never run the door unstaffed during arrivals.

Room / AV / Wi-Fi checklist (per room, per slot)
Walk both rooms before the first door opens.
- Room booked and labelled - Build a Skill → TBC · Spec-First Build → TBC (one is Madrid)
- Projector / screen tested with the presenting laptop (resolution, no clipping)
- HDMI / USB-C adapters present and working
- Wi-Fi confirmed working; network name + password displayed on screen
- The no-login fallback AI tool loads on the venue network (tool: TBC - vet in advance)
- Power: strip / extension at every cluster of seats
- Seating set for collaboration - clusters, not lecture rows (Spec-First needs one team table)
- The 5 Ways projected or on a flip chart, visible all session
- Countdown timer ready (phone timer screen-shared works)
- Repo URL displayed (Spec-First room): the RISE Mini repo
- Spare laptops (2–3) with an AI tool pre-installed, for anyone who arrives without one

The 10-minute opener is the only shared beat. Keep it tight - it’s the same spine for both rooms, so a mixed-confidence audience and a senior team start on identical footing. Don’t over-run it; the rooms need their full build time.
Reset window (between AM and PM)
- Re-stock both rooms: printed cards, take-away cards, sample data, pens
- Reboot / reset demo laptops; reset the repo to a clean state (Spec-First)
- Clear whiteboards / flip charts; re-project the 5 Ways
- Tech-helper re-tests Wi-Fi and the no-login fallback tool
- Registration owner resets the name list for the PM cohort
